Below is the process you need to follow for the daily processes and month end routines in Car Sales

Daily Routines

  • Car Sales > Postings > Workshop Costs
  • Car Sales > Reports > Day Books

Monthend Routines

BEFORE ANY MONTH END IS PROCESSED A BACKUP OF THE CURRENT FILES SHOULD BE TAKEN. FAILURE TO DO SO COULD RESULT IN RE-INPUTTING OF ENTERED SINCE THE LAST VALID BACKUP.


 

Month End - Part One

Part One of the Peak Motorline Vehicle module is designed to allow the sale and purchase of vehicles for the new month to be processed whilst costs incurred in the previous month can still be posted to the correct period.

 

As with the Parts and Workshop modules, the Vehicle Part One should be completed at close of business on the last working day of the month. If this is not possible the process should be completed as soon as all sales and purchases of vehicles for the current month have been competed.

 

All sales invoices or credit notes, purchase payments, sales payments and writedown or overallowance postings for the current month must be completed along with any depreciation postings.  Once done the required reports can then be printed.

 

  • Confirm all Sales (Car Sales > Stock Management > Enter Stock Number > Sales > Sell > Confirm Sale (this should only be done once the vehicle values have been confirmed correct as this can not be undone once confirmed))
  • Check all Purchase Payment Posted (Car Sales > Postings > Purchase Payments)
  • Check all Vehicles are entered on to Stock 
  • Check all Cash Received has been posted (Car Sales > Stock Management > Enter Stock Number > Sales > Payment)
  • Print O/S Debtors (Car Sales > Reports > Vehicle Details > Outstanding Debtors)
  • Print O/S Creditors (Car Sales > Reports > Vehicle Details > Outstanding Creditors)
  • Print Aged Stock (Car Sales > Reports > Vehicle Details > Aged Stock Report)
  • Print Daybooks (Car Sales > Reports > Daybooks)
  • Process Month End Part 1 (Car Sales > Month End)

Once part one is completed, users can process the sales and purchase of vehicles for the new month. These transactions will post to future periods on the nominal ledger.

 

Note: until the sales ledger month end is processed any finance invoice now processed will post to the incorrect sales ledger period



Month End – Part Two

Each dealership decides the time to process the Vehicle Part Two month end. It is dependent on the completion of posting to the vehicles of all outstanding costs incurred the previous month.

 

To assist in determining this, a report called ‘ Outstanding Costs’ is available. Many users print this report as part of the Part One routine, but whenever it is printed, the report will list vehicles by stock number and details any cost to be posted.

 

It should also be noted that until Part Two has been completed, all sales reports will only show details of the previous month’s sales.

  • Print Used Vehicle Sales Report (Car Sales > Reports > Month End Reports > Used Vehicle Sales Report)
  • Print Sales/Franchise Profitability Report (Car Sales > Reports > Month End Reports > Sales/Franchise Profitability Report)
  • Print Sales/Salesman Performance Report (Car Sales > Reports > Month End Reports > Sales/Salesman Performance Report) 
  • Print Vehicle Stock Valuation Report (Car Sales > Reports > Month End Reports > Vehicles Stock Valuation Report)
  • Print O/S Costs and post any that are required (Car Sales > Reports > Month End Reports > Outstanding Costs Report)
  • Process Month End Part 2 (Car Sales > Month End)

The month end would have updated the salesmen’s records and zeroed the current month details. These can be viewed via ‘Salesman File’ and then selecting the salesman. Current month totals are always included in year to date totals. The vehicle group current month totals are also zeroed. These can be viewed via ‘Vehicle Groups’ Profit Performance tab.

 

Any details required by an Automatically Generated Composite will be transferred during part two processing. All cost transactions will now post to future periods on the nominal ledger.
