Vehicle in Stock No Longer Required or Duplicated

If you have bought a vehicle into stock and it is no longer required OR it has been duplicated, to remove this you will need to do the following:


New Vehicles

Vehicle Has Not Been Delivered (Showing 'On Order' in Peak)

  • Go into Car Sales
  • Go into Stock Management
  • Click on Find
  • Enter in the Peak ID Number
  • There should be no 'Financial' or 'Stock' Transactions and the 'Costs/Profit' tab should be 0.00 or No Profit Details Available. If you do have values then you will need to do the following, if not move to the next step:
    • Click on Postings
    • Click on Supp Purchase and zero the values
    • If you have any DFA's on the vehicle then you will need to go into Postings and Dealer Fitted Accessories and Zero these down
  • Click on Consign
  • Click No to 'Receive Vehicle Into Stock'
  • Click OK
  • Click OK on the Purchase Value Screen (don't enter any values)
  • Click OK
  • Click on Sales
  • Click on Sell
  • Click on Invoice
  • You will then be presented with a screen for a 'Swap Out/Dealer Transfer', say Yes to this
  • Click on the Customer Details
  • Enter in Details of who this is going back to (i.e. the original supplier)
  • Leave the 'Sales Type' as Trade
  • Enter a 'Sales Person'
  • Click OK
  • Your Screen should now be displayed as follows:
  • Click Exit
  • 'All Details Entered?' Click Yes
  • If the customer isn't already on Followup then you will need to answer Yes or No to save this onto CRM
  • 'Print Sales Invoice Now?' say Yes or No accordingly (depending if you would like a printout, you can reprint this in the documents at any time)
  • The status of the vehicle will now show as Invoiced
  • Click on Sales
  • Click on Sell
  • Click on Confirm Sale
  • It will say 'Purchase Price is Zero - Continue?' Click Yes
  • If you haven't saved the customer on Followup/CRM then it will bring a message up saying 'Customer will not be saved on Followup System - Continue?', Click Yes
  • Click OK
  • Click OK through the DFA Box
  • Click OK  through the Customer Screen
  • Click OK through the Finance Screen
  • Click Yes to 'Vehicle Sales Complete'
  • The vehicle will now show as Sold


Vehicle Has Been Delivered (Showing 'Delivered' in Peak)

  • Go into Car Sales
  • Go into Stock Management
  • Enter in the Stock Number
  • There should be no 'Financial' or 'Stock' Transactions and the 'Costs/Profit' tab should be 0.00 or No Profit Details Available. If you do have values then you will need to do the following,if not move to the next step:
    • Click on Postings
    • Click on Supp Purchase and zero the values
    • If you have and DFA's on the vehicle then you will need to go into Postings and Dealer Fitted Accessories and Zero these down
  • Click on Sales
  • Click on Sell
  • Click on Invoice

  • Click on the Customer Details
  • Enter in Details of who this is going back to (i.e. the original supplier)
  • Leave the 'Sales Type' as Trade
  • Enter a 'Sales Person'
  • Click OK

  • Click Exit
  • 'All Details Entered?' Click Yes
  • If the customer isn't already on Followup then you will need to answer Yes or No to save this onto CRM
  • 'Print Sales Invoice Now?' say Yes or No accordingly (depending if you would like a printout, you can reprint this in the documents at any time)
  • The status of the vehicle will now show as Invoiced
  • Click on Sales
  • Click on Sell
  • Click on Confirm Sale
  • It will say 'Purchase Price is Zero - Continue?' Click Yes
  • If you haven't saved the customer on Followup/CRM then it will bring a message up saying 'Customer will not be saved on Followup System - Continue?', Click Yes
  • Click OK
  • Click OK through the DFA Box
  • Click OK  through the Customer Screen
  • Click OK through the Finance Screen
  • Click Yes to 'Vehicle Sales Complete'
  • The vehicle will now show as Sold


Vehicle Has Been Adopted (Showing 'Adopted' in Peak)

  • Go into Car Sales
  • Go into Stock Management
  • Enter in the Stock Number
  • There should be no 'Financial' or 'Stock' Transactions and the 'Costs/Profit' tab should be 0.00 or No Profit Details Available. If you do have values then you will need to do the following,if not move to the next step:
    • Click on Postings
    • Click on Supp Purchase and zero the values
    • If you have and DFA's on the vehicle then you will need to go into Postings and Dealer Fitted Accessories and Zero these down
  • Click on Sales
  • Click on Take Order
  • You will have to enter a registration number (you can make something up for this i.e REVERSE)
  • Enter a Registered Date (you can use todays date)
  • Confirm Yes
  • Make sure the sales order is set as 0.00 throughout
  • Click on the Customer Details
  • Enter in Details of who this is going back to (i.e. the original supplier)
  • Put the 'Sales Type' as Trade
  • Enter a 'Sales Person'
  • Click OK
  • Your Screen should now be displayed as follows:

  • Click on Exit
  • All Details Entered? Click 
  • Click on the Customer Details
  • Enter in Details of who this is going back to (i.e. the original supplier)
  • Set the 'Sales Type' as Trade
  • Enter a 'Sales Person'
  • Click OK
  • Your Screen should now be displayed as follows:
  • Click Exit
  • 'All Details Entered?' Click Yes
  • If the customer isn't already on Followup then you will need to answer Yes or No to save this onto CRM
  • 'Print Sales Order Now?' say Yes or No accordingly (depending if you would like a printout, you can reprint this in the documents at any time)
  • The status of the vehicle will now show as Reserved
  • Click on Sales
  • Click on Sell
  • Click on Invoice
  • Press Enter through the Reg No and Registered Date Fields
  • Confirm Yes
  • Ensure all the details are correct and the Invoice screen is set at 0.00's
  • Click Exit
  • 'All Details Entered?' Click Yes
  • 'Print Sales Invoice Now?' say Yes or No accordingly (depending if you would like a printout, you can reprint this in the documents at any time)
  • The Status of the Vehicle will now show as Invoiced
  • Click on Sales
  • Click on Sell
  • Click on Confirm Sale
  • It will say 'Purchase Price is Zero - Continue?' Click Yes
  • If you haven't saved the customer on Followup/CRM then it will bring a message up saying 'Customer will not be saved on Followup System - Continue?', Click Yes
  • Click OK
  • Click OK through the DFA Box
  • Click OK  through the Customer Screen
  • Click OK through the Finance Screen
  • Click Yes to 'Vehicle Sales Complete'
  • The vehicle will now show as Sold


Used Vehicles

Part Exchange Vehicle

When you are cancelling a part exchange, the only process that you need to do is cancel the Invoice and the Order on the vehicle the customer is purchasing.
This will then release the Part Exchange from the Deal and mark the status as a 'Cancelled Part Exchange' 

Straight Used Car Purchase

  • Go into Car Sales
  • Go into Stock Management
  • Enter in the Stock Number
  • There should be no 'Financial' or 'Stock' Transactions and the 'Costs/Profit' tab should be 0.00 or No Profit Details Available. If you do have values then you will need to do the following,if not move to the next step:
    • Click on Postings
    • Click on Supp Purchase and zero the values
    • If you have and DFA's on the vehicle then you will need to go into Postings and Dealer Fitted Accessories and Zero these down
  • Click on Sales
  • Click on Take Order
  • Make sure the sales order is set as 0.00 throughout
  • Click on the Customer Details
  • Enter in Details of who this is going back to (i.e. the original supplier)
  • Put the 'Sales Type' as Trade
  • Enter a 'Sales Person'
  • Click OK
  • Your Screen should now be displayed as follows:
  • Click Exit
  • 'All Details Entered?' Click Yes
  • If the customer isn't already on Followup then you will need to answer Yes or No to save this onto CRM
  • 'Print Sales Order Now?' say Yes or No accordingly (depending if you would like a printout, you can reprint this in the documents at any time)
  • The Status of the Vehicle will now show as Reserved
  • Click on Sales
  • Click on Sell
  • Click on Invoice
  • Press Enter through the Reg No and Registered Date Fields
  • Confirm Yes
  • Ensure all the details are correct and the Invoice screen is set at 0.00's
  • Click Exit
  • 'All Details Entered?' Click Yes
  • 'Print Sales Invoice Now?' say Yes or No accordingly (depending if you would like a printout, you can reprint this in the documents at any time)
  • The Status of the Vehicle will now show as Invoiced
  • Click on Sales
  • Click on Sell
