Finding and Deleting Obsolete Parts

If you have parts that are no longer used, you can mark these as ‘Obsolete’ on the system. 

This can be done in a number of ways:


For Individual Parts

  • Go in to Parts
  • Go in to Parts
  • Enter the Part Number in the field provided
  • Click on Amend
  • Change the 'Order Status' from Stock Part or New Part to Obsolete
  • Click on OK
  • Say Yes to Save changes to the part record


For Bulk Parts

  • Go into Parts
  • Go into Reports
  • Go into Stock Status
  • Go into Obsolescence Report
  • You can then enter through the Start and End Code and Product Group or you can enter the Part Number/Product Group criteria you want to mark as obsolete 
  • Enter the 'Number of Months' you would like to search through
  • Enter the 'Movement Less Than' to how many movements the part has to have moved in the time frame for it to be obsolete (Standard is 1 in 'X' Months)

'Evaluate Stock Which is Obsolete' This will check through a suggest parts that match the criteria requested

'Report on Records Which are Obsolete' This will pull through parts which are marked as obsolete already on the record

'Include Records Previously Marked Obsolete' This will pull through parts which have already been marked as obsolete and will combine this on the report

'Report Only' This will print a report of parts that match the criteria entered

'Report and Mark as Obsolete' Only use this if you are happy with previous reports produced (always print a report only first) (Do not use unless you are 100% sure everything is correct)

'Mark as Obsolete'  This is when you are happy with the results (Do not use unless you are 100% sure everything is correct)



Delete Obsolete Parts from the System

This function should only be used when doing the End of Month (it is always recommended to have a backup before proceeding)


When you run the Parts Month End, there is a tick box that says ‘Delete Obsolete Records’, when ticked this will delete all parts that are marked as 'Obsolete' on the records


NOTE: You can view the Obsolete stock records in Parts > Reports > Stock Status > Obsolete Stock, this will print a list of all parts already marked as Obsolete in your system (including ones you have just marked)

Remember, you can use ‘Output to Diskfile’ or ‘Print to PDF’ to view reports that you don’t need a hard copy of to save on paper
