The Part Payment option will give you the ability to do the following:
- Part pay an
invoice with or without a discount
- Make multiple part
payments (as above)
- Pay off both part paid
or unpaid invoices
- Review part
payments related to an invoice
- Various reports and screens will display the payment status and outstanding balance
Supplier Record/Account
Transactions Tab Display:
- 'Part Paid' Radio Button for transaction filtering
- 'Payments' button added which is enabled when the transaction line highlighted
- By clicking the 'Payments' button it brings up list of payments (see below) made against an invoice or batch of invoices paid
Supplier Reports
Purchase Ledger > Reports > Supplier Accounts
When you print off the Suppliers Accounts Report (the example below is by 'All Transactions'), you will see there is a 'Balance' column which will display the outstanding amount for that invoice and will show the 'Status' as Part Paid PtPd with the run number
Purchase Ledger > Reports > Aged Creditors
When you print off the Aged Creditors Report, you will see from the transaction that it will only display the outstanding balance
Purchase Ledger > Reports > Remittances
When you print off the remittance advice it will show the Balance outstanding under the 'Balance' heading and the 'Status' as PtPd as shown below
How to process a Part Paid transaction
To process a part paid transactions you will need to do the following:
- Enter the supplier invoice onto the account as you normally would, if not already done
- Go into Purchase > Postings > Manual Payment
- Enter the relevant information on the Entrance Screen i.e. Payment Date, Method of Payment etc
- Select or Enter the Supplier Code
- Select Selected Items
- Click on the 'Reference Number' on the transaction line
- You will then be presented with the 'Selected Item to Pay' box
- Enter the amount you are going to pay in the Amount to Pay field (shown below)
- Click on OK
- As you will see from the screen below, it will show the payment i have just made of £20.00 and the balance outstanding of £20.00 (I have already paid off £200.00 on a previous payment run)
- Click OK
- Accept Posting, Yes
- You maybe presented with the Bank Account Payment screen where you can enter the relevant information
If you then go into the Supplier Account and click on Transactions, you will see the payments made by highlighting the invoice and clicking ok Pmts
The process will then be repeated until the invoice has been paid off in full.
